When to Start Planning Logistics
General practical recommendations:
- International transport: It must be planned well in advance. For events within the EU, we recommend starting at least 2–3 weeks in advance. For events overseas, longer preparation times must be factored in—at least 6–8 weeks for sea freight (the more cost-effective option) and at least 4 weeks in advance for air freight.
- Allow extra time for customs and unexpected situations
Leaving things to the last minute is one of the most common mistakes exhibitors make.
Customs Procedures and the ATA Carnet
If you are exhibiting outside the EU, you will need to arrange for temporary importation.
ATA Carnet: This is one of two possible customs documents that allows for the temporary export of goods outside the EU, but not to all countries worldwide—only to those that are contracting parties.
